How to conduct and manage skill assessments in KnowCount. Assessments are used to measure both the skill level and interest level of individuals across the skills assigned to them.
There are three types of assessments in KnowCount:
Self-assessments
Supervisor assessments
Target assessments (Competency Targets)
Each type serves a different purpose and can be enabled or disabled via Security Group settings.
1. Assessment Types & Permissions
All assessment types are enabled by default in KnowCount. Access and participation are controlled through Security Groups, which define whether users are:
Subject to an assessment (i.e., expected to complete or receive one)
👀 Able to view their own or others’ assessments
Self-assessments
When “Subject to” is enabled:
Users will be prompted to complete self-assessments
Email reminders will be sent on due dates
When disabled:
Users cannot access or complete self-assessments
👀 When “View” is enabled:
Users can view their own results
With appropriate People > View permissions, they can also view others’
When disabled:
Users cannot see self-assessment results (even their own)
Supervisor assessments
When “Subject to” is enabled:
Supervisors will be expected to assess these users
When disabled:
These users will not receive Supervisor assessments
👀 When “View” is enabled:
Users can view their own Supervisor assessments
Supervisors with People > View can also view assessments of others
When disabled:
No Supervisor results will be visible
🔒 Disabling view access for any type will limit dashboards and reports that depend on that assessment data.
2. Self-assessments
Self-assessments allow people to rate their own skill level and interest level for the skills assigned to them.
To complete a self-assessment:
Go to My Summary.
Click Start your self-assessment.
Follow the prompts:
Rate each skill using the provided radio buttons for skill and interest levels.
Optionally leave comments per skill category or overall.
Click Submit to finalize your assessment.
You will be redirected to your summary dashboard to view results.
🛈 Users must be able to log in to complete self-assessments. See “Adding People and Enabling Them to Log In” for setup instructions.
3. Supervisor Assessments
Supervisor assessments allow designated individuals (based on team membership and Security Group settings) to evaluate a team member’s skill and interest levels.
To complete a Supervisor assessment:
Go to Assess People.
Click Assess now next to the person you wish to assess.
Follow the prompts:
Rate each skill in the same format as a self-assessment.
Optionally enable Show responses from self-assessment to see the user’s own ratings for comparison (only visible to Supervisors).
Click Submit when complete.
Use the summary page to review assessment dashboards.
4. Target Assessments (Competency Targets)
Target assessments let you define expected skill levels for a Team or Role, allowing you to track how close people are to achieving full competency.
Who Inherits Targets
People automatically inherit competency targets if:
They belong to a Team or hold a Role that has targets defined
They are configured to inherit skill sets from that entity
Step-by-Step: Set Competency Targets
Step 1: Assign Skills
Go to the Team or Role you want to set targets for.
Edit the entity and assign Skill Categories and Skills to it.
Step 2: Complete the Target Assessment
Open the entity’s dashboard.
Click the Targets tab > Set targets now or go to Actions > Set targets.
Follow the prompts to set a target level for each skill.
Once submitted, KnowCount will:
Display a Competency level indicator on the entity dashboard
Add a Competency tab to show detailed per-skill progress
Track how well individuals are progressing toward target levels
Permissions Required
To view competency target data, the following permissions must be enabled in Security Groups:
People > View > Competency
Teams > View > Competency
Roles > View > Competency
Self > View > Competency
5. Resetting Assessments (Administrator Only)
If you need to discard a person’s completed assessment (e.g., due to an error):
Open the person’s dashboard.
Click Actions > Reset ratings.
Choose the assessment type(s) to discard:
Self
Supervisor
Click Proceed.
The selected assessment type(s) will no longer be used in reports or dashboards, though the data is retained in history.
🛈 After resetting, it will appear as if the person has never completed that type of assessment.
